CrossControl + CANEA ONE = even better control of the operations

CrossControl supplies electronics, software, and services for control and information systems for industrial vehicles and machines. End customers operate in industries such as agriculture and forestry, construction and civil engineering, trucks, material handling, and mining. The applications increase equipment productivity and are valued for their reliability and well-designed human-machine interface.

CrossControl has long distinguished itself as a reliable supplier of advanced solutions for vehicle and machine control and monitoring. As the business developed and placed new demands on internal systems, it became clear that the existing SharePoint solution no longer met the organization's need for a more user-friendly and future-proof system.

– To ensure continued efficiency and quality in its internal work, CrossControl therefore took the strategic decision to introduce a new quality management system that better supports today's and tomorrow's requirements, explains Henrik Åhlenius, Quality Manager (QEHS).

CrossControl chooses CANEA ONE

CrossControl values flexibility and the ability to create custom configurations, but previous experience showed that it was important that the new IT solution did not require special IT skills. In addition, they wanted a powerful search function, which is lacking in Sharepoint.

– We wanted to improve the user experience with a powerful search function, personalized home pages, and multilingual support, as we also have employees in Finland and Germany. English is our corporate language, but it doesn't work very well in production environments, says Henrik, continuing:

 – The response from staff has been very positive. This is particularly true of the personal start page, which gives employees a very good overview of relevant processes, and the search function, which we think is fantastic. Now, all relevant information is easily accessible to all users.

The implementation project

The biggest challenges have been IT-related, such as which operating solution to choose. The decision was made to operate CANEA ONE via a cloud solution, but an in-house server solution is being investigated. Otherwise, there have only been minor teething problems.

– In addition to a great product, the implementation project was very well organized. The structure was good, with templates for creating workflows and document types. And once the project was underway, we had continuous weekly reviews. We had our internal project managers and CANEA had theirs, and there were regular weekly reviews between them. Close contact with frequent reviews was good for driving the implementation process forward and enabling us to quickly rectify any errors that arose, says Henrik.

CANEA Document, Workflow and Process

At the time of writing, in May 2025, the system has been implemented, and staff have been trained. Seven different document types have been created with associated templates and workflows for how they should be handled and who should approve them. However, the process designer tool has not yet been put into use.

– The documents are linked to the process structure, and the process owners are ultimately responsible for the documents that belong to their own process. However, we will introduce process managers, i.e., sub-process owners, who will be responsible for relevant documents so that the process owners do not have an overly burdensome workload, says Henrik.

When it comes to cases, i.e. CANEA Workflow, a case manager has been configured in CANEA ONE for 8D investigations in connection with complaints and internal quality issues, but more will be added. The company also wants to integrate CANEA ONE with other internal IT systems, such as the ERP system.

– We handle all auditing in CANEA ONE, which means everything from external audits relating to customers, suppliers, and certifications to internal audits and manufacturing audits. We have also incorporated deviation management into Workflow, and the engineering department has created an issue manager in CANEA ONE to handle product improvements and any problems that may arise, says Henrik Åhlenius, concluding:

– It has been a very smooth and successful project. It was quick to get started. We are  used to working with a digital QMS, but even so, it took very little time to learn the system.

 

”The introduction exceeded expectations. We are quite used to system management but have never experienced such a smooth implementation.”

“I would highly recommend that system administrators be involved in the development of workflows, as this provides a very good understanding of the system and allows you to get started more quickly when you want to develop your own workflows.”
